- BOOKING POLICIES -
THIS IS A VACATION RENTAL AGREEMENT UNDER THE NORTH CAROLINA VACATION RENTAL ACT. THE RIGHTS AND OBLIGATIONS OF THE PARTIES TO THIS AGREEMENT ARE DEFINED BY LAW AND INCLUDE UNIQUE PROVISIONS PERMITTING THE DISBURSEMENT OF RENT PRIOR TO TENANCY AND EXPEDITED EVICTION OF TENANTS. YOUR SIGNATURE ON THIS AGREEMENT, OR PAYMENT OF MONEY OR TAKING POSSESSION OF THE PROPERTY AFTER RECEIPT OF THE AGREEMENT, IS EVIDENCE OF YOUR ACCEPTANCE OF THE AGREEMENT AND YOUR INTENT TO USE THIS PROPERTY FOR A VACATION RENTAL. GUESTS CONCERNED WITH THE POSSIBILITY OF HAVING TO CANCEL WITHIN 30 DAYS WE SUGGEST TRAVEL INSURANCE COVERAGE. THIS IS AVAILABLE THROUGH MOST ANY TRAVEL AGENCY.

NIGHTLY MINIMUMS:
Properties require a 2-night minimum stay. Longer minimum stays may be required during holiday periods and certain seasons. -
PAYMENTS:
*All payments made by the guest shall be held in an interest bearing account. In accordance with North Carolina law, disclosure is hereby given that the interest will be to the benefit of the agent.
*RESERVATIONS SECURED ONLINE: Your credit card will be charged 50% at the time the online reservation is processed. If the reservation is within 31 days, the entire reservation charge will be processed in either one or two transactions. A final confirmation email, including directions, key code and other useful information will be sent at that time. For arrivals more than one calendar month in advance, guests' final payment will be automatically charged no earlier than 31 days from arrival and then the final confirmation email will be sent. -
OTHER CHARGES AND FEES:
Smoking inside the rental homes is PROHIBITED. All units are NONSMOKING. If this regulation is violated and smoking has been detected in the rental units, a $150 penalty will be charged to the credit card on file. By signing this agreement, Linville River Log Cabins LLC is authorized to charge this fee to your credit card on file. All reservations incur 7.75% Sales Tax in addition to the rental amounts and fees -
CANCELLATIONS, TRANSFERS, AND FORFEITS
*Cancellations made thirty (30) days prior to arrival: Linville River Log Cabins will refund guests first half payment, minus a $40.00 processing fee.
b) Cancellations between thirty (30) and fifteen (15) days of scheduled arrival: guests will receive 50% of the deposit, minus a $40.00 processing fee.
c) Cancellations made fourteen (14) days or less to scheduled arrival date: No refund will be issued.
d) In the event of a documented emergency by a doctor or clergy, (15 days prior to arrival) Linville River Log Cabins will allow the guest a one-time opportunity to reschedule their reservation for the same cabin for a stay within six months of the original arrival date. For rescheduling, guests will be charged a $40.00 non-refundable processing fee.
e) Rescheduled reservations are non cancelable – for any reason – balance is due on rescheduled reservations at time of rescheduling.
WE SUGGEST THAT GUESTS CONCERNED WITH THE POSSIBILITY OF HAVING TO CANCEL WITHIN 30 DAYS PURCHASE INSURANCE COVERAGE. THIS IS AVAILABLE THROUGH MOST ANY TRAVEL AGENCY.
*Transfers (subletting) to third parties is not permitted. Onsite management will request a photo ID of the reserving party (matching the credit card used for reservation). The reserving party who’s credit card us used must be a member of the party that stays in the cabin and provide their credit and identification upon request.
*If the balance can not be secured 31 days prior to your arrival, we will treat the reservation as a cancellation and return your deposit minus the cancellation fee (see "Cancellations") within 45 days.
*No refund will be issued for early departures.
*Linville River Log Cabins LLC is not responsible for the weather or other Acts of God and there will be no refunds for these occurrences. Vacation insurance can help cover losses you may incur due to these and other unforeseen circumstances.
*Linville River Log Cabins reserves the right to transfer guests to another cabin of equal or greater value should it become necessary due to maintenance reasons or issues beyond our control. - We apologize but at this time we have no handicap accessible cabins. Most cabins require some climbing of steps or stairs. Therefore, we do not recommend renting a cabin if you are wheelchair bound or physically unable to climb steps or stairs. We offer no refunds if you choose to disregard this information.

OCCUPANCY:
Occupancy violations will result in rent forfeiture and immediate eviction of guests. Guests will restrict occupancy to posted limits at all times.
ABSOLUTELY NO HOUSE PARTIES, YOUTH GROUPS, FRATERNITIES, SORORITIES OR PARTIES ALLOWED. Linville River Log Cabins DOES NOT RENT TO STUDENTS OR GROUPS OF STUDENTS UNDER ANY CIRCUMSTANCES, EVEN IF A PARENT OR LEGAL ADULT MAKES THE RESERVATION AND/OR PAYS THE RENT. If such a group attempts to occupy one of our rental properties, ALL MONEYS WILL BE FORFEITED AND GUESTS WILL BE ASKED TO VACATE THE PROPERTY IMMEDIATELY. -
MECHANICAL FAILURES/REPAIRS/APPLIANCES:
Although we rarely have to do anything other than replace batteries in a remote device, please call us if anything isn't working properly. We will make every effort to fix it in an expeditious manner. We can issue gift credit (case by case basis) toward your next visit but cannot issue refunds or partial refunds for mechanical failures of nonessential or luxury items, including, but not limited to, hot tubs, television, satellite/cable service, dishwasher, washer/dryer, fireplaces, air conditioning, Jacuzzis, or any other appliance that fails to operate properly during your stay.
All cabins include hot tubs. Guests should be aware of some risks that can be associated with hot tub use. Some of these risks can include discoloration of swim wear due to chemicals used to sanitize tubs and minor skin rashes if sensitive to the chemicals. Guest assumes all responsibilities for these risks and consequences. Absolutely no pets or children are allowed in the hot tubs. Guests of special attention including, but limited to, pregnant women, elderly, and disabled persons should use heavy caution while using the hot tubs. Linville River Log Cabins LLC cannot be held responsible for hot tub injuries or discomforts.
Cell phone service is not guaranteed at our rental properties. -
Pets: "Mountain Summer" cabin is our only pet friendly cabin.
Dogs must be leashed at all times when outside. Pets must be crated if left unattended, and visible through the front door. Please bring pet's bedding and/or crate because Linville River Log Cabins does not allow pets on furniture or beds. No more than two (2) pets are allowed. Sorry, no exceptions.
A non-refundable pet fee of $45.00 for the 1st pet is required. Additional pets are $15 each. If pet hair is found on furniture or beds guests will be charged an additional $50 cleaning fee. Additionally, guests must pay any damage pets have caused to the cabins or surrounding areas. A $100 deposit (cash or check only) per pet is required. I check or cash is not received to cover the pet deposit it will be held on the credit card used to make the reservation. Guests will be refunded this deposit minus any damages or extra cleaning charges.A pet fee of $50.00 (non refundable) and a pet deposit of $50 (refundable deposit) required. Again, ONLY $50 of your $100 pet charge is refundable. A second pet is ½ of both 1st pet charges. If pet hair is found on any furniture or beds, guests should NOT expect the $50 deposit to be refunded. Additionally, guests must pay any damage pets have caused to the cabins or surrounding areas.
*Absolutely NO PETS on the rental premises or inside the rental unit unless approved and documented by Linville River Log Cabins LLC.
*Penalties are a $100 charge, immediate removal of pet, and/or eviction of guests. All rental payment will be forfeited.
*Small non-shedding dogs (25 pounds or less) will be considered on a case by case basis.
*All pets must be approved by Linville River Log Cabins LLC prior to arrival.
*A photo of your dog is required before we will send the key code for the cabin. If we do not receive the photo by the time the second payment is due (within 31 days of arrival) you will be charged the remainder of your reservation with no guarantee that your pet will be approved.
*If approved, there is a $50 nonrefundable pet fee per pet unless otherwise noted. Any misrepresentation regarding number of pets will be charged accordingly.
*All pets must be bathed and groomed prior to arrival. There may be additional charges for excessive cleaning due to odor or shedding.
*Guests are held financially responsible for all physical damages to property (i.e. chewing, scratching, flea infestation, etc.), inflicted on the property by the presence of a pet. If extra cleaning is deemed reasonable due to the presence of a pet, (i.e. soiled furniture and/or flooring, hair on furnishings or bedding, or fleas) the guest will be held financially responsible and the credit card on file will be charged for the amount of the repair/recovery.
*All pets are required to be leashed when outside and no pet shall be tied outside the unit unless supervised by a responsible adult.
Guest agrees to hold Linville River Log Cabins LLC harmless for any pet injury or accident that may occur on the rental property during occupancy.
*"Mountain Summer" is our pet-friendly cabin. The guidelines above are explained in more detail. Please Contact Us to request a copy before making your reservation. We love pets and have found when we travel it helps to have details so there are no misunderstandings.
*Lost revenue: If for any reason an authorized or unauthorized pet renders a cabin unusable the guests will be responsible for nightly rental charges for that cabin AND possibly the expense of placing a guest in off sight accommodations should there not be another cabin to move the arriving guest into. -
ACCIDENTS:
Guests agree to hold Linville River Log Cabins LLC harmless for any accident or injury that may occur on the rental property during occupancy.
**Note: The sleeper loft is accessed via a ladder. Parties that choose to use the sleeper loft do so at their own risk! Children under age 16 are not permitted in the loft. -
DIRECTIONS AND KEY INFORMATION:
Information regarding check-in procedures, including directions and unit key instructions, is sent via email after initial reservation deposit is received. It is the responsibility of the guest to verify receipt of directions 30 days prior to arrival. -
PERSONAL ITEMS:
Linville River Log Cabins LLC is NOT responsible for guests' personal belongings that are lost, stolen, or left behind. A $25 retrieval fee will be charged, and if found, the items will be returned at the guest's expense. -
CLEANING:
All of our properties are professionally cleaned before you arrive and after you leave. Please report within 90 minutes anything we failed to clean.
Leave all beds used during stay unmade upon departure. Any linens/towels found missing from your stay will result in a deduction from your damage deposit credit card for reasonable replacement costs. For multiple week stays, light weekly housekeeping can be arranged during your stay at an extra cost.
Guests are responsible for cleaning and storing all dishes, utensils, and removing all trash to the appropriate outside container. By signing this agreement, the tenant agrees to pay a secondary cleaning fee of $75 if check-out procedures are not followed as posted in each rental unit and extraordinary cleaning is deemed necessary. -
CHECK-IN AND CHECK-OUT: (Recommend a flashlight if arriving after dark)
CHECK-IN is 3PM or later. CHECK-OUT is 11AM. Please notify us of any LATE DEPARTURE needs that may arise during your stay. We will attempt to accommodate your request. If prior arrangements have not been approved by Linville River Log Cabins LLC and the property is not vacated by 11AM, we are authorized to remove the guest’s belongings from the property at the guest’s expense. A late check-out fee of $60 plus tax will be charged to the credit card on file.
EARLY CHECK-IN (before 3PM) AND LATE CHECK-OUT (after 11AM): A limited number of early check-ins or late departures are offered for those guests with special arrival / departure needs. Please add either your EARLY CHECK-IN or LATE CHECK-OUT preference on your reservation request. You will need to call the day of arrival to determine if early check-in is available. You will need to call the day of departure to determine if late check-out is available. -
LOST KEY:
If you loose your key, call 828-387-6688 to be let into your cabin and for a replacement key. $25 will be charged to your credit card. -
SKIS, SNOWBOARDS, FLOATS, LIFE JACKETS AND OTHER OUTDOOR RECREATIONAL EQUIPMENT:
Absolutely no skis, snowboards, ski boots or snow board boots, floats, etc. are allowed inside the cabins. You may keep them on the decks or in your vehicle. We encourage these outdoor recreational opportunities, but this type of equipment is hard on our wood surfaces. ALL UNITS GET YOU STARTED WITH THE FOLLOWING AMENITIES, including, but not limited to:
Linens and towels for each guest for each day will be supplied at the start of your stay; *fully equipped kitchens, including coffee makers, as well as some cooking utensils*; dishwashing soap*; sponges*; hand and body soaps*; paper towels*; napkins*; toilet paper*; garbage bags*, along with some cleaning implements. -
OTHER:
*We offer wireless internet, upon request, for $10 per 100MB of transfer*. What is 100 megabyte of transfer? It is ample enough usage to check your email during your visit and some "light" web browsing. It is not intended for listening to music, web surfing, video streaming, Skype, or other video instant message clients. If your friends or colleagues frequently attach large files, please use a webmail client to avoid downloading e-mail attachments. We apologize for any inconvenience but there are limitations to satellite internet and you should know that, occasionally, weather can be a factor. Therefore, availability is not guaranteed.

policies when completing your online reservation.
